Processing Quotes Estimated Reading Time: 3 Minutes A quote moves through a fixed set of statuses: Draft, Waiting Approval, Open or Persistent (approved), Signed, or Cancelled. This article covers moving a quote through that cycle. Requesting Approval Submitting a quote for approval places it in the Quote Approval Queue. Open the View Quote page for a Draft quote. In the Actions section, click Request Approval. Click Yes to confirm. Note: Request Approval only appears if you have quote update rights, the quote is in Draft status, and it hasn't expired. Approving a Quote Click Sales in the left sidebar, then View Quote Approval Queue under I Want To… to see quotes waiting for approval. Click a quote to review it. In the Actions section, click Approve Quote. Click Yes to confirm. Note: If you have both quote update and approval rights, Approve Quote is available directly from the View Quote page even before requesting approval — you don't have to go through the Quote Approval Queue first. Once approved, the quote's status becomes Open (or Persistent), and the Actions panel shows Approved by [name], Email to Client, Add Signed Contract, and Cancel Quote. Emailing a Quote to a Client Once a quote is approved, email it to the client to review and sign online. The email is pre-filled from the Quote Generated Email template and includes a unique link to the quote. Open the View Quote page. In the Actions section, click Email to Client. Review the message. Check Attach PDF to include a PDF copy. Click Send Now. The client opens the link, reviews the quote and any attached service agreement, and signs it. A lead does not need a Client Portal account to sign. Once signed, the quote becomes an order in the Order Manager, and a completed contract copy is emailed to both the client and the quote's owner. Adding a Signed Contract If a client signs a paper copy instead, record it manually. Open the View Quote page. In the Actions section, click Add Signed Contract. On Contact Information, confirm or update the signer's contact details. On Payment Information, select a payment method. Up to six options can appear: an existing Credit Card on file, New Credit Card, an existing ACH Account on file, New ACH Account, Check/Wire, or Paypal. On Contract Information, enter the Signer name and upload the scanned Contract PDF. Click Save. Note: Which payment methods appear depends on your instance's settings. Credit card options need Credit cards enabled in Configuring Quotes and Contracts and a merchant provider configured under payment processing settings. ACH options need both ACH Account enabled there and an ACH provider configured the same way — this is why ACH options may not appear even when the quote payment setting for it is on. Changing a Quote's Status Open the View Quote page. In the Quote Details section, click edit. Change Status. Click Save. Note: All Edit Quote fields, including Name, Assigned to, Contact, and Term, stay editable even after a quote is approved (Open or Persistent) — not just Status. Cancelling a Quote You can cancel a quote at any point before it's signed. Open the View Quote page. In the Actions section, click Cancel Quote. Click Yes to confirm.
