Assessing Late Fees Estimated Reading Time: 3 Minutes Ubersmith can charge late fees automatically when a client does not pay an invoice on time. Ubersmith adds each late fee to the client account as a one-time fee service. The client gets the late fee on the next invoice. A late fee schedule sets the amount of the late fee and when Ubersmith charges it. For more information, refer to the article "Adding Late Fee Schedules". Assign a late fee schedule to a client Open the client profile. In the Billing section, click edit. The Edit Client window opens. Click the Billing tab. In the Late Fee Schedule field, select the late fee schedule. To not charge late fees, select No Late Fees. Optional: Select Apply Late Fee On Late Fees to include unpaid late fees in the amount that Ubersmith uses to calculate the next late fee. This field is available only when you select a late fee schedule. Click Save. When you add a client, the Late Fee Schedule field shows the Default Late Fee Schedule of the brand. For more information, refer to the article "Configuring Billing Settings". Ubersmith copies the late fee schedule to each invoice when it generates the invoice. A new or changed schedule applies only to invoices that Ubersmith generates after the change. Existing invoices keep their late fee settings. How Ubersmith assesses late fees Ubersmith checks for late fees each night, during the daily invoicing task. When an invoice is unpaid for the number of days in the schedule after its due date, Ubersmith charges the initial late fee. If the schedule has a recurring late fee, Ubersmith charges it again at each recurring interval while the invoice stays unpaid. When the client pays the invoice in full, Ubersmith stops charging late fees for it. The late fee can be a fixed amount, or a percentage of the unpaid amount of the invoice. If a percentage fee is less than the minimum in the schedule, Ubersmith charges the minimum or does not charge a fee, as the schedule specifies. Late fees on late fees If Apply Late Fee On Late Fees is cleared, Ubersmith does not include unpaid late fees on the invoice in the amount that it uses to calculate the late fee. This is the default. If the invoice contains only unpaid late fees, Ubersmith does not charge a new late fee. If Apply Late Fee On Late Fees is selected, Ubersmith includes the unpaid late fees in the amount. The late fee service Each late fee is a one-time fee service with these properties: Service plan: the built-in Late Fee service plan. Ubersmith adds this plan to each brand when it is first necessary. Description: "Initial late fee charge for invoice (client ID-invoice ID)" or "Recurring late fee charge for invoice (client ID-invoice ID)". Note: the late fee terms and the unpaid amount of the invoice. Ubersmith also records each late fee in the event log of the client. Ubersmith invoices the late fee service in the same way as other one-time fee services. Late fee terms on the invoice Each invoice with a late fee schedule shows the late fee terms below the charges, for example "a $50.00 late fee after 7 days overdue, and an additional $50.00 every 7 days thereafter". Ubersmith shows the terms only while the invoice has an unpaid amount.
