Understanding the Charge Queue Manager Estimated Reading Time: 3 Minutes The Charge Queue Manager shows the automatic payments that Ubersmith will try to charge later. The queue has two types of entries: Scheduled payments: When an invoice has a charge date after the invoice date, Ubersmith adds the payment to the queue. The Reason for Failure column shows "Scheduled Payment" and the charge date. Failed payments: When an automatic payment fails, Ubersmith adds it to the queue to try again later. The queue includes credit card, ACH (bank account), and billing agreement payments. Open the Charge Queue Manager Go to Reports. Under Clients, click Charge Queue Manager. To see the queue for one client only, open the client. Then go to Reports > Charge Queue. This version shows the same information, without the Client ID and Client columns. Read the summary The Charge Queue Summary at the top of the page shows: Payments to be retried: The number of payments in the queue. Amount in Charge Queue: The total amount of these payments. Average retry attempts: The average number of retries. The first charge attempt is not a retry. To download the queue, click Download CSV File. Read the list of payments The list shows one row for each payment: Client ID and Client: The client. Click either value to open the client. Account: The payment method, for example Credit 1111 for a credit card that ends in 1111. An ACH account shows as Check. A billing agreement shows the gateway name. Retry attempts: The number of retries. The first charge attempt is not a retry. Last Attempt: The date and time of the last charge attempt. For a scheduled payment, this is "No previous attempts". Next Attempt: The date of the next charge attempt. If the payment reached the retry limit, this is "None : retry limit reached". Reason for Failure: The reason that the last charge failed, or "Scheduled Payment" and the charge date. Amount: The amount to charge. To sort the list, click a column heading. Change a queued payment In the row of the payment, click details. The Queued Charge Details popup opens. Change the values as necessary: Payment Method: Select a different payment method of the client. Next Attempt: Select a new date for the next charge attempt. You cannot change this date if the payment reached the retry limit. Remove: Select the services and taxes to remove from this payment. If you remove all of the lines, Ubersmith removes the payment from the queue. Click Update. Remove a payment from the queue Select the check box of each payment to remove. Click Remove from Queue. Ubersmith does not try to charge a payment after you remove it from the queue. This does not change the invoice. The invoice stays unpaid until the client pays it in a different way. Note: When you mark an invoice as paid, Ubersmith removes its payment from the queue automatically. Set how Ubersmith retries failed payments The retry settings are on the Credit Card Options page. To open it, go to Settings > Credit Card Options. Days between automatic payment retries: The number of days between charge attempts. Retry failed charges: Select Unlimited retry attempts, Limited retry attempts, or Do not attempt retries. If you select Limited retry attempts, type the maximum number in Retry attempts limit. Days before notifying admin of failed payment attempts: The number of days before Ubersmith tells staff about a payment that continues to fail.
